Invoices

Invoicing details, issuing a stay's invoice with a QR payment, sending it to the guest and cancelling it.

Invoices

Norka issues an invoice for a stay with a QR payment, emails it to the guest and keeps it. The invoice is in the language you choose, and once issued it cannot be changed, only cancelled.

1. Add your invoicing details

  1. Open Settings and the Invoicing section.
  2. Click Add details and fill in the Legal name, Address, Company ID (IČO), the VAT ID (DIČ) if you have one, and the Account number. Norka works out the IBAN for the QR payment and catches a mistyped account number when you save.
  3. If you are a VAT payer, switch on VAT payer and check the VAT rate (accommodation is 12 %).
  4. Choose the Invoice language: either Guest's language (the primary guest's preferred language, or Czech if they have none), or one fixed language.
  5. Save.

The first details are the default and apply to every estate. If you let estates on behalf of different people or companies, add more details and pick them on the estate, in its Invoicing section.

Invoices are numbered by year and a running number (for example 20260001), and the series starts again each year. The number is also the payment reference (variable symbol).

2. Which stays are invoiced

  • Booking.com and Airbnb collect the payment and give the guest their document, so stays from their imports are not invoiced. When a portal guest pays you directly, switch on Issue invoices on the import, or click Issue anyway on the reservation.
  • eChalupy, Megachalupy and direct bookings are invoiced.
  • Blocked dates and your own stays are never invoiced.

3. Issue the invoice

  1. Open the reservation. On the right is the Invoice card with the amount, who it is made out to and the language.
  2. Click Issue invoice.

The invoice is made out to the primary guest for the price of the stay. If the stay has no price or no primary guest, Norka says what to add. A stay across estates with different invoicing details gets one invoice per set of details.

4. The PDF, and sending it to the guest

  • Open PDF opens the invoice. It carries a QR payment the guest scans in their banking app, and a VAT breakdown for VAT payers.
  • Send to guest emails it in the invoice's language with the PDF attached. You can change the address before sending. The card then shows when it was sent.

5. Cancelling

An issued invoice cannot be edited or deleted. If it is wrong, click Cancel invoice:

  • Not a VAT payer: the invoice stays on record, stamped as cancelled.
  • VAT payer: Norka issues a credit note for it, with negative amounts, in the same number series.

You can then invoice the stay again. Cancelled invoices and credit notes are listed on the card under Earlier documents.

All invoices

Open Invoices in the menu on the left. You see every invoice and credit note issued, newest first, with their total under the table. Click a stay to open its reservation, or the icon next to the number to open the PDF.

You can filter by issue date (This month, Last month, This year, All or Custom), by document type (valid, cancelled, credit notes), by whether the stay is paid, whether the invoice was sent to the guest, and by invoicing details. Search finds an invoice number, a buyer or a stay.

Invoices and the assistant

An assistant connected over MCP can find out whether a stay needs an invoice (get_invoices), issue it (issue_invoice) and send it to the guest (send_invoice). It cannot cancel one; that is always yours to do in the app.
